Metacore, a mobile game company with offices in Helsinki and Berlin, is renowned for its popular game Merge Mansion, which captured the hearts of over 50 million players worldwide since its launch in 2020. In 2023, Metacore achieved a revenue of EUR 162 million, marking profitability. The company secured EUR 180 million in funding from industry giant Supercell, positioning them as a key player in Supercell's portfolio.

With rapid growth leading to up to 100 new hires every year, Metacore realized the necessity of automating manual onboarding tasks. Following a successful demonstration, the company opted for a Finnish HR automation platform based on a recommendation.

Effortless Communication: Automating Email and Slack Messaging with Introist

Introist was seamlessly integrated with Metacore's HR system, and the onboarding workflows were collaboratively developed with the Introist team. Upon signing the contract, each new employee now receives a welcome deck that not only introduces them to the company but also provides contact details for the designated People person in case of queries or assistance.

Before their first day, new hires receive notifications detailing what to expect and calendar invites for introductory sessions, all sent to their work emails. Ensuring comprehensive and timely information is crucial, especially for relocating employees. They receive detailed information about the relocation process and their relocation partner, and once the work permits are approved, Metacore will start searching for their temporary apartment in Helsinki and arranging their flights to the city.

During the initial week, a subtle message is sent via Slack to check in on how the employees are settling in.

Furthermore, Introist establishes a Trello board containing onboarding tasks for all employees, clarifying what to expect throughout the onboarding process.

The primary user, Hildén, admits being skeptical about Introist at first. “The versatile possibilities of the platform sounded almost too good to be true. However, Introist has lived up to its promises, saving me a huge amount of time and enhancing the quality of the onboarding process.”

Efficient Managerial Duties: Ensuring Oversight and Reminders

Upon preparation for a new employee's arrival, Introist sends a notification to the team lead reminding them to reach out to the new hire. Additionally, calendar reminders are set for the start date, automatically scheduling their first meeting at a mutually convenient time slot.


Following the onboarding process, Introist prompts the team lead to schedule check-ins at 1, 3, and 5 months post-hiring to ensure the new employee's progress and adjustment within the company.


Managing diverse workflows for employees in Helsinki and Berlin, and for relocating staff, Hildén acknowledges, "Introist plays a vital role in sending timely reminders to me and the managers. This ensures that amidst rapid growth and varied locations, no crucial aspects are overlooked."

Streamlining Employee Welcoming: The Automated Buddy Program

Metacore has established a buddy pool consisting of volunteers who are eager to welcome new hires. Upon the hiring of a new employee, Introist automatically initiates the buddy selection process by sending a question to potential buddies: "Would you like to be a buddy for this new hire?"


If they agree, they receive details outlining their role in welcoming the new individual. This includes having lunch, introducing them to colleagues and workplace activities, and ensuring a warm and smooth integration process.

Personalized Mass Messages and Low-Key Slack Surveys

In addition to onboarding, Hildén has utilized Introist to gather information efficiently. She put together a list of individuals and designed a Slack survey to see if they would exchange their holiday pay for holiday leave

Hildén finds the feature of conducting low-key surveys on Slack convenient. For relocating employees, a more formal survey for feedback is sent after 6 months. Employees are notified via Slack, receiving a message with a link to access the survey form.

Simplified Scheduling: Automatic Calendar Invites

Metacore has developed 20 distinct introductory sessions, each recommended to be completed within the first 6 months of onboarding. These sessions cover a wide range of topics and can be conducted by various personnel, including the CEO, legal or finance teams, and game operations, as well as sessions focused on employee wellbeing and self-leadership.


Before, Hildén added and removed participants manually, but now enrolling in the intros has been automated with Introist.

Streamlined Onboarding: Lighter HR Workload and Improved Efficiency

Introist has significantly reduced HR workload and saved valuable time, enabling the team to deliver timely information to new hires. This is particularly crucial for employees relocating, as it helps them prepare and anticipate what's ahead.

Metacore values the collaborative partnership with Introist, highlighting their responsiveness and proactive approach. "I always receive prompt responses, and we have developed processes closely together. The cooperation has been excellent, with valuable support provided. I appreciate the accessibility via Slack," expresses Hildén.


In the upcoming plans, Metacore aims to expand the utilization of Introist to automate offboarding and reboarding processes, including sabbatical and parental leave. Additionally, they intend to automate booking meeting rooms simultaneously with sending calendar invites.
